January Board Update
Welcome to 2019! The HOIA Board held its quarterly meeting last night, with seven residents in attendance. We appreciated the input from our neighbors and will be posting a monthly blog post like this one to keep everyone informed on what’s happening behind the scenes and between board meetings. Here’s an update from our January Meeting.
COMMUNICATION
We are streamlining our communications and reducing costs by moving most of our communication to digital channels. As such, we want to reiterate the best way for you to stay informed and what you can expect moving forward:
- Monthly Blog Update at www.highlandoaksca.org posted the first week of every month. Consider "bookmarking" the website address in your browser for easy access!
- Quarterly Board Meetings for 2019 on January 8th, April 9th, July 9th and our Annual Meeting on October 8th. All meeting are at 7pm and the Meeting Agenda is posted on the bulletin board at the Cabana Club, emailed to our paperless mailing list and on our website 5 days prior.
- Email List - Go paperless and receive all HOIA mailings via email. Click here to sign-up.
- Semi-Annual Newsletters - We will distribute a printed newsletter twice a year in March and July that will be volunteer distributed.
- Nextdoor - We are active on the social network Nextdoor and although it is not an official form of communication, we will post meeting reminders, monthly blog post links and respond to questions or comments as needed.
The best way to reach the Board or our Community Manager, Maria Lafever is by email at highlandoaksca@gmail.com. If it is a simple issue or question, Maria will address it. If the question or comment requires Board input, Maria will forward it to the Board for follow-up.
CLUBHOUSE RENTAL
Shout out to Elaine Williams who works super hard as a volunteer to coordinate all the rentals and use of the Clubhouse. If you would like to rent the Clubhouse, fill out our Cabana Club Rental Request form and Elaine Williams, our rental coordinator will get back to you.
GO PAPERLESS
We are asking all residents to opt-in for electronic communications so that you receive all official HOIA documents and notifications of Board Meetings news via e-mail. This simple change saves significant dollars in printing costs. Click here for the form and information.
BOARD MINUTES
We are making changes to have the Board Minutes posted to our website approximately 7-10 days after the meeting date - no more waiting until after the minutes are approved at the subsequent meeting. You may also keep an eye on the bulletin board in front of the Cabana Facility for meeting agendas and any other notable information, such as event flyers for the Easter Egg Hunt and Labor Day BBQ.
POOL BATHROOMS
Our initial bids for a full bathroom remodel were significant and could possibly require an assessment. As a result, the Board is currently obtaining bids for a cosmetic refresh to the interior of the poolside changing rooms so that the larger project of replacing the facilities may be adequately researched and budgeted. The cosmetic update will include new paint, faucets, mirrors and hooks for the 2019 summer season.
ACCESS SYSTEM
Our secure entry (key-fob access) system is set to be replaced as soon as new doors are installed at the Clubhouse. You will have different options to pick up your new key fobs in or around March, 2019, so make a note on your calendar to check all resources for more information.
PAY DUES ONLINE
If you haven't paid your 2019 dues yet you can now pay online.
NEW BOARD MEMBER
We want to extend a big welcome to Willie Brown, our newest board member. Willie grew up in Highland Oaks and is an incredible asset to our board. Welcome Willie!
